Informational Interview
Hi guys!
I’m asking accountants and CPA’s a few questions about your experience as I’m an aspiring accountant myself. Is anyone willing to answer the following questions? Also it would be great if you could provide a name and email so my school can confirm and send a thank you note. Thank you all so much!
Questions -
What was your career journey like? What made you decide to become a CPA or an accountant?
What does a typical day look like for you as an accountant?
Which is more important to have a successful accounting career; being a Certified Public Accountant or having an accounting master’s degree?
What are some of the biggest challenges you face as an accountant?

Home business: electrical upgrades
First post in this sub. I have a home business. For 2025 the revenues were fairly modest, I did not take any home office deductions or anything on my return. In 2026 things have escalated quite a bit.
For 2026 I think I need to upgrade the electrical panels and circuitry for my house. Lets assume its $10,000 or so.
I am going to consult a CPA eventually but I'm trying to find my bearings on how this would be treated. Does it adjust my cost basis of my home? Can I expense it and then not increase the basis? What provisions should I be looking at?
Assume that the electrical upgrades and now 1 room and 1/3 of the garage are 100% used for business at this point, and the breaker upgrades will absolutely be for business use only.

Owner credit card to company
We are a single member LLC tax as an S Corp as of 01/01/2026. Last year we were taxed as a sole proprietorship. The owner of the company has a personal PayPal card that he used for company expenses last year while we were being taxed as a sole proprietorship. However, there are also charges on there that are not company expenses. He has also been paying this card out of his personal account even up until now but the company will takeover going forward. We want to transfer everything into the company, and we should’ve done it sooner.
What is the proper way to record this? I worry if I do it as a credit card, then payments, past payments, and interest could get tricky to calculate because I would have to remove any personal expenses. Am I overthinking it?
Side note: I graduated college last year and somehow landed as the CFO of a mfg company doing a mill a year. Any resources into more complex Quickbooks topics like this would be greatly appreciated.

For insurance company accountants: Has work been more difficult with outsourced call center support?
Our insurance company just outsourced customer service and some billing support to an overseas team. They're going to formally start in a month, and it's up to me to help with all things billing/AR/policy changes. Just curious how you guys approach reconciliation, especially when the frontline data entry isn't in-house.

I’m thinking about starting a business and don’t know what my first step should be.
Hey friends, like the title says I want to start a jewelry making business and want to do everything right legally and to give myself all the benefits possible.
I’m estimating around $3,000-5,000 costs before I can actually start making anything. And probably while after that before I’ll be able to sell anything.
What are my steps? Do I have to get a business license and bank account before doing any purchases?
Is there a book I can read or should I go talk to someone?
And would it even be worth it to be worried about tax write offs with that small of an investment?
I’m truly as green as they come in this department, what do you think?

File naming conventions used
I currently have something setup like this:
Vendors/Acme/2026/2026-10-20 Acme 1001 99.00.pdf
and if it’s a refund, I use (99.00).
However, sometimes I’ll get an invoice followed by a receipt for some vendors whom I have a card on file with. Since the receipt is for that invoice, it shows the invoice number, causing a duplicate file issue.
Should I use the authorization number for the receipt instead? The downside is I lose the ability to match via file naming but not sure how much that matters.
I can’t always prefix with INV- because some invoices start with in_ or INV_ already and I script it to use the actual invoice number when filing. And when human staff get involved, I don’t want to make file naming super complicated
Curious to know how you handle situations like this?

Best places to find referrals for Small Business Accountant
Hi all, I live in Northern Virginia and am having hard time finding someone to help out with my small tech business, at this point I’m just going to go with whoever unless someone can point me to the right direction on where to find a few different options. Is there a good database or something like that?

Do u use AI in ur day to day accounting work
I'm in my second year as an accountant at a private company. Up until recently, I never really cared about AI because it felt like it had nothing to do with my day to day work. But then a bunch of my coworkers started talking about it all the time, so I got curious and decided to see what it could actually do.
Once I looked at where my hours were actually going, I realized a ton of my time was just wasted on repetitive steps that AI could easily speed up. Dumping that grunt work on a bot frees me up to dig into weird numbers and focus on the stuff that takes real accounting judgment.
One thing you learn pretty fast: you can't just throw a one line prompt at it and expect a clean spreadsheet. I usually have to walk it through the steps, fix its mistakes a couple of times, and spell out the rules. But once you dial it in, you can pretty much reuse it for the same files every time.
Here are the three main things I use it for:
- Cleaning and prepping spreadsheets
My whole week is just drowning in Excel files, from journal entry backups to balance sheet recs. I usually split the workflow into two parts.
First, I chat with the bot to anil down the layout, required columns, and check figures. Then I let it build the actual file while I tab out and work on other stuff.
I normally use two models for this. I use GPT-6 terra to think through the steps and instructions, and GPT-6 luna to output the file. That setup was running me about $20 a month.
Lately, I've been testing Workbuddy instead. I kept terra as the brains for the instructions, but swapped the actual grunt work over to the free DeepSeek V4.1 Flash inside it, which should cut my monthly bill down quite a bit.
- Fixing trash ERP export layouts
I set up a separate workflow just for cleaning up exported reports.
The raw exports from our ERP are an absolute mess with subtotals everywhere, random page breaks, busted headers, and locked sheets that ruin sorting and filtering. I just jump the raw file in and tell it to turn everything into a clean, flat table I can actually filter. Takes a couple of quick tweaks to get the rules right, but after that, the output is usually clean enough that I don't have to waste time reformatting by hand. Obviously, I still manually check the totals myself before touching the numbers.
- Reconciliations and catching discrepancies
Staring at thousands of transaction lines one by one to find broken entries was genuinely ruining my eyes.
Now I just feed the files in, tell it to match transactions based on a few rules I set up, and have it flag that doesn't tie out, like missing doc numbers, duplicate entries, or weird amount differences.
The trick that worked best for me: write your matching logic using actual accounting terms instead of Excel columns. Tell it to match by document number and amount, not "check column F against column H." It makes the prompt way more reliable when file layout change.
Those are the workflows I use every day. I'm also messing around with linked workbooks, formulas that pull across files, and rough drafts for MD&A stuff, but I'm still figuring that part out.
And just to be clear, I don't upload anything sensitive or any client data into external tools since I'm definitely not trying to get fired over company data policies. I still check all the final numbers myself.
If you have any workflows that actually work, feel free to share!

Question about health care organizations
I've see a number of health care organizations that are divided into non profits and for profit companies. Kaiser as an example - the insurance company and the hospital are non profit and the company that employs the doctors is for profit. Can someone explain to me why they would do this? It seems somehow wrong but I don't understand how.

How do you handle Stripe / PayPal / Shopify payout reconciliation when you have lots of clients?
For those of you with multiple clients who get paid through Stripe, PayPal, Shopify or Square: how do you do month end for those?
Specifically curious about:
- Roughly how many of your clients use a payment processor?
- What do you use today: A2X, Synder, QBO/Xero bank rules, a spreadsheet, the processors own reports, something else?
- About how long does it take per client per month?
- Whats the part that actually eats your time: fees netted out of deposits, refunds/chargebacks, multi-currency (USD/CAD), matching payouts to the bank line, something else?
- If you tried a tool and stopped using it why?
Happy to post a summary of what I hear back here. Thanks
