QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop 2020 Discontinued Services

Here is the list Intuit published regarding parts of QBDT 2020 that will discontinue working 5/31/2023. If you own QBDT 2020 or prior, you own the software. If you have any version of QuickBooks Desktop that includes PLUS in the name, you do not own the software and have to pay an annul subscription to maintain access.

Functions that will no longer work in QBDT 2020 after 5/31/23:

Security updates: Critical security updates

Payroll services: Assisted Payroll, Basic Payroll, Enhanced Payroll, Standard Payroll

Payroll-related services: Direct Deposit for vendors, QuickBooks Workforce (ViewMyPaycheck, VMP)

Credit card processing: Merchant Services, Terminal download (Merchant Services), Recurring payments, Online invoice

Check processing: Intuit Check Solution

Tech support plans & included services: QuickBooks Care protection plan

Other services: Accountant Copy File Transfer, Multicurrency/exchange rate, Contributed reports, Online Banking, QuickBooks Email, QuickBooks Time, Online Bank Feeds

Edit:

Manual .qbo bank imports will also stop working.

Emailing invoices will still work fine if you go into preferences-send forms, and set "send email using:" to webmail instead of Quickbooks mail. Not affected by product sunset.

Although it says "webmail", you can actually use almost any email provider, not just a web-based one like gmail. I have it send via my regular business email.

QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop - THE END IS NIGH I received the first "We're sunsetting QBDT" email from Intuit this morning.

I've been saying for several years now that Intuit will likely start moving toward a full-cloud based solution, and today my suspicions were confirmed.

I see their perspective - cloud-based software is much easier to troubleshoot, because most browser-based software is operating system and networking structure agnostic, meaning if you are able to use an approved browser (Chrome, Firefox, Internet Explorer, etc), then you are able to use their software.

In addition, SaaS (Software as a Service), is quite lucrative because the costs to maintain the software - hosting space, bandwidth, etc - is quite low compared with traditional software costs. While my firm is a 100% QBO shop, I know there are a lot of folks (users and accountants alike) who prefer QBDT. While I understand Intuit's reasoning here, I can't help but think that some of their less-expensive competitors are cheering right now.

Hello Lorenda,
Today we're announcing important changes to Intuit QuickBooks Desktop that may impact your clients.
After July 31, 2024, Intuit will no longer sell new subscriptions of the following Desktop products in the US:
• QuickBooks Desktop Pro Plus
• QuickBooks Desktop Premier Plus
• QuickBooks Desktop Mac Plus
• QuickBooks Desktop Enhanced Payroll
What is not changing:
• Existing Desktop Pro Plus, Premier Plus, Mac Plus, and Enhanced Payroll subscribers can continue to renew their subscription after July 31, 2024*. We will continue to provide security updates, product updates, and support for existing subscribers.
• All QuickBooks Desktop Enterprise subscriptions (Silver, Gold, Platinum, and Diamond) will continue to be available for purchase for new subscribers after July 31, 2024. Enterprise Gold, Platinum, and Diamond include integrated payroll.
• Accountants can continue purchasing QuickBooks Accountant Desktop Solutions, including ProAdvisor bundles, through our Accountant Sales team after July 31, 2024.
What actions to take with your clients:
While we strongly recommend encouraging your current Desktop clients to move to QuickBooks Online (for more info, click here), we realize that some customers may prefer to stay on Desktop at this time.
• If you have clients on non-subscription versions of QuickBooks Desktop Pro, Premier, or Mac that wish to remain on Desktop, we recommend they purchase a QuickBooks Desktop Pro Plus, Premier Plus, or Mac Plus subscription through our Sales team before July 31, 2024.
• If you have Pro Plus or Premier Plus clients that have been considering Desktop Payroll, we recommend they purchase a QuickBooks Enhanced Payroll subscription before July 31, 2024 or upgrade to QuickBooks Enterprise Gold, Platinum, or Diamond, which include integrated Payroll and can be purchased after July 31, 2024. Alternatively, QuickBooks Online Payroll is available to Desktop clients and is a standalone full-service payroll solution that also offers HR support, Health and 401K benefits.*
• We also recommend that all of your QuickBooks Desktop clients upgrade to the latest version of the software by July 31, 2024. QuickBooks Desktop 2024 includes the latest features and security updates. If your clients are on an active QuickBooks Desktop Plus subscription, they have access to QuickBooks Desktop 2024 with no additional charge and simply have to install the update.
In February 2024, we will notify all QuickBooks Desktop customers of these changes. This gives you and your impacted clients 6 months to purchase a Desktop accounting or payroll subscription if they want to remain on the Desktop platform.
QuickBooks Desktop Product Line-up Changes FAQ
Starting on January 8, 2024, the fee for each direct deposit paid through QuickBooks Desktop Payroll will increase to $4
• This price change impacts QuickBooks Desktop Enhanced Payroll for Accountants when using direct deposit to pay W2 employees.
o Because the employee direct deposit fee is billed directly to your clients, Intuit will send a 30-day notice to your impacted clients, addressed to the primary principals' email address on file.
• For clients on "legacy" Enhanced, Standard, or Basic Payroll plans without monthly per employee fees, the new fee will apply when paying W2 employees via direct deposit.
Payroll FAQs
We appreciate you and your clients' loyalty to the Desktop platform over the years, and we will continue to support those customers on a Desktop subscription after July 31, 2024*. However, we highly encourage you to prepare your clients for the future by helping them move online. There are many benefits enabled by an online platform that can't be realized through desktop software, including time savings, the flexibility to work from anywhere, and a customizable ecosystem of connected business solutions. To help you prepare to move your clients online, we've created dedicated support materials written by accountants who have successfully migrated their own clients and want to help pave the way for yours. Keep an eye out for additional resources as we help you manage through this change with your clients.
Thank you for your business and your continued support of QuickBooks.

Sincerely,

The QuickBooks Team

QuickBooks Online Finally understand why everyone hates QuickBooks

So, recently, I got a client from here on Reddit who wanted me to migrate over four years of historical data from Excel to QuickBooks Online for account reconciliations against their existing sheets, and also find a way to make the process relatively straightforward going forward.

I'd used QB a long while back, but I'd forgotten most of it since that was more of a favour to a colleague than anything else.

Anyways, one phrase she kept uttering as we discussed the project was "I hate QB." Honestly, I found it funny. My thoughts at the time were, it can't be that bad. That was until I found and browsed this sub. Oh dear!

When I started working on the project, I perfectly understood why most on here shit on it. The common sentiment across both subs seems to be recommending alternatives.

That said, the first annoying thing I encountered was how clunky the user experience is. You can't just import your data; it has to be mapped correctly to how QB expects it. Fair enough, I guess. But the amount of data cleaning and modelling I had to do to get everything mapped correctly to QB's invoices default format to generate the corresponding AR was painstaking.

The client initially wanted me to use journal entries (JEs), which would have been a complete clusterfuck wrt to their data but flagged it early. Then there's the limit on the number of invoices you can import at a time. Luckily, the way I modelled the data got me around this, so I only needed about four or five imports for the entire dataset initally.

When I wanted to cross-check everything against the original sheets, I couldn't go back more than three months to view payments or invoices. I later found them under "All Transactions," IIRC. I also noticed duplicates, even though QB supposedly prevents them.

Even the API wasn't spared. I eventually used Google Apps Script to automate pushing invoices and payments to QB after transforming the data, while also implementing duplicate prevention and tracking.

One annoying stuff was that the query endpoint requires a POST request with the content type set to "application/text" instead of "application/json". I only found that out after staring at failed requests for a while. Their developer dashboard didnt help either. The save button was hidden off-screen, lol. I only found it after I luckily zoomed out, imagine.

There were a couple of other headaches I'm not even remembering right now. Oh yeah, reconciling payments against individual invoices was another one, especially since each invoice could have multiple payments. It was complicated by the payment structure with inital payments and holdbacks both paid months after date of service.

Anyways, I still found a way through, despite QB's annoyingness. The actual stuff was more complex than this post would explain.

Historical data was successfully migrated and reconciled while also set up so that subsequent data can be transformed to match QB's requirements and imported periodically, covering both invoices and payments. There's also duplicate prevention and a tracking dashboard that flags matches, mismatches, and errors btw sheets and QB.

So, yeah, I finally get the complaints, sort of counterintuitive if that's the right word, luckily didn't have to deal with predatory pricing, another popular complaint I found.

TL;DR: Had issues with QB's user experience while migrating over four years of historical data from Excel to QuickBooks Online. Had to clean and model the data to match QB's requirements without losing the detail it captured, reconcile invoices and payments, and used Apps Script  to automate subsequent imports with duplicate prevention and a dashboard for tracking matches, mismatches, and errors. Pretty much every step was counterintuitive but it worked out.

QuickBooks Online Duplicate transactions when doing both receipt snap and bank statements?

I've been using the receipt snap feature for a while, since I learned about it, and then later found that could link my bank account directly and pull straight from that. I have been using the mobile app mostly, which is maybe part of my problem. When I jave been doing the reciept snap, it seems the only option is to post it as an expense, or it just goes into the "to be reviewed" folder. I don't see any other option to match it with a bank account or anything, so I've just been posting them.

Now I realized that I am ending up with a lot of duplicate transactions. Is the best course of action to just delete all the receipts, excepting ones that were cash transactions, and then just pull from my checking and credit card statements? Obviously I would still save physical copies of the receipts in my desk, but I just want to make sure I'm not double dipping when figuring out my expenses.

Is there a way to do this automatically, or will I need to manually delete each receipt that was recorded?

QuickBooks Online Keeping Inventory At Multiple Locations in QBO?

Thumbnail
2 Upvotes

Looking for some guidance on this. Our QBO is awful because it's the amalgamation of ten years of multiple people who aren't accounting trained doing whatever they think is best in Quickbooks. I feel like there has to be a "correct" way to handle the multiple locations inventory for a system that's supposed to be as all encompasing as Quickbooks.

QuickBooks Online Another QuickBooks Fail

I send estimates with a deposit amount selected. QuickBooks has decided that’s the only important number apparently showing it centered and at least 3x larger than the total estimate amount when viewed in an email causing much upfront confusion for people quickly reviewing an estimate.

The total should be the larger number shown and the deposit being second.

It has been doing this weeks now and is driving me insane and creating more work. Ive tried clearing my cache, turning automation off etc.

If someone has the solution to make this stop i will literally pay you $100. I am fed up please help

QuickBooks Online We’re sorry, we can’t find the page you requested

I set up a new QB account today and spent hours entering information. Now when I try to click on a transaction it gives me this error. I have tried two different browsers, I’ve tried incognito mode, I’ve deleted all my cache and cookies. What else can I try?? This is ridiculous!

General bookkeeping questions that are not software specific Owner Depositing Customer Payments into Personal Account, and then transferring into business account?

EDIT – SOLVED: I created a clearing account called "Owner Bank" in QuickBooks. I used Bank Deposits to move the existing customer payments from Undeposited Funds into this account without recording additional revenue.

I then categorized the owner's deposits in the bank feed as transfers from Owner Bank. For the final deposit, I created a Bank Deposit using the remaining Owner Bank balance and allocated the difference to shareholder contributions.

Finally, I matched that deposit to the corresponding bank transaction. The Owner Bank clearing account now has a $0 balance, all customer payments are accounted for, and no duplicate revenue was recorded. The owner agreed to NOT do this in the future. Thanks to everyone in the comments with the solution here, it worked well!

The owner is depositing cash and checks into his personal account from customer payments, and I'm having a hard time trying to understand how to unscrew the books in QuickBooks from this.

I have several customer invoices where I've noted we've received payments into undeposited funds. However, the owner, in an effort to fix the situation, transferred several deposits for various amounts to make the cash payments/checks cover the outstanding invoices that need cash applied to as a deposit.

For e.g., I have $6k in outstanding undeposited invoices that were paid by customers, but he made 3 transfers that were for some obscure amounts, but they do total roughly to the invoices.

How do I record his 3 varying transfers to match the various amounts needed for the invoices in QB online to show they've been deposited?

Do I need to delete the recorded payments, and then try to match/split them against the deposits?

Thanks in Advance

How do I become a bookkeeper/start my business? Intuit Academy and QuickBooks Live Bookkeeper

Has anyone with zero bookkeeping experience tried out Intuit Academy?
I’ve never done any type of accounting or bookkeeping work in my life. I noticed that the Quickbooks Live Bookkeeper can omit some of the experience required by taking the courses on Intuit Academy.
Can anyone give me an idea of what it’s like to work as a Quickbooks Live Bookkeeper, or if an absolute beginner with no experience have any chance of being hired? Please be kind, life is rough right now. Just found out my remote job of three years is going under and I’m being laid off near Christmas time.

QuickBooks Online Built a free tool to convert scanned PDF bank statements directly to .QBO (QuickBooks Web Connect) files

Hey QuickBooks users,

One of the most annoying parts of onboarding new clients or catching up on past-due books is when banks only provide PDF statements instead of direct bank feeds or .QBO files.

I built a lightweight web converter called StatementForge (https://statementforge-ai.netlify.app/) to turn those locked bank PDFs directly into QuickBooks Web Connect (.QBO) and Excel files.

Key highlights:

- Exports natively formatted .QBO files that match QuickBooks import standards

- Runs an automatic balance reconciliation audit before exporting so you don't miss a line

- Privacy-first: Runs client-side in your browser, keeping client bank data confidential

- Free 3 pages/month to test out your statements

Check it out here: https://statementforge-ai.netlify.app/

Hope this saves you some manual data-entry hours, and let me know if there are specific bank formats you want added!

QuickBooks Desktop (Pro/Premier/Enterprise) Numerous QB Company Files, Need New Solution - Help?

I run a small commercial real estate company; I am a solo syndicator, who outsources all my bookkeeping & accounting. For bookkeeping, I have a setup where I pay for QB Desktop, its setup in a VPN environment, and my outsourced bookkeeper is able to login, do all the work, etc. I pay for a single QB Desktop license that my bookkeeper uses, and it all works great for ~30 company files (one for each LLC, some properties have multiple LLC's) and every year its growing by 3-4 company files as I acquire new properties and create new LLC's.

Migrating to QB Enterprise would run me ~$2k/year, and QB Online would be even worse since I'd need a separate subscription for each company file.

What are other people in my position doing or migrating to? This would be a significant increase in costs from what I've been paying.

Additionally, my current bookkeeper is basically maxed out, and I need to bring on a second person soon. So whatever solution I migrate to would need to be able to have multiple users.

Thx!

QuickBooks Mac QB Desktop 2024 for mac- HELP!

Purchased license for QB desktop 2024 for mac a few years ago and a few months back, Intuit forced me to QBO by making my desktop version read-only. I'm a year away from retirement and absolutely despise QBO. Anyone have any idea on how to make my desktop version work again (meaning not read-only)? Gotta be a hack or workaround, right? 🙏🙏🙏🙏🙏 TIA!

QuickBooks Desktop (Pro/Premier/Enterprise) Trying to format QBD report: make column small without hiding the date range

Thumbnail

One of the reports I like to make is a two-year P&L comparison. I like to make the column as narrow as possible, because all the numbers line up straight, but then it hides the date in the header.

Is there a way to make all of the numbers as lined up as possible while keeping everything visible in the header?

Link to Imgur for a side-by-side example.

QuickBooks Desktop (Pro/Premier/Enterprise) Direct Deposit Limit Increase

Has anyone else had a problem getting their direct deposit limit increased? And can give me some tips? We made the first request on Sept 30th and some requests afterwards. We have never heard from the Direct Deposit team although a QB support person had me send bank statements on Oct 8. Still crickets. Any advice?

QuickBooks Online About mcp server or connector for claude

Hey all, I had built a slack notification that sends to execs on a Monday morning and it covered everything from web analytics, Google ad performance and matching against the crm. I also had a connection to quickbooks online e that lasted for only three weeks. It would document weekly revenue, outgoings and new customer information, basically general business direction metrics and it was going well until about two weeks ago. The qbo connector to Claude broke and now it won't connect saying it is not available in the UK. I also went in developer.quickbooks.com and tried to play around different with the app which was how I previously Interacted with qbo using Claude.

Anyone having problems with the connector when an mcp server had worked previously? I have disconnected the official connector and restarted it multiple times but it's not connecting at all.

QuickBooks Mac Those Who Have Migrated from QB Desktop to Xero/Freshbooks/Zoho, Any Regrets?

Here's my situation: I'm still running QuickBooks Desktop Mac 2021 on an M1 Mac Mini with macOS Sonoma. I've avoided upgrading macOS because of compatibility concerns with my unsupported version of QuickBooks, but other applications such as Microsoft Office are now prompting me to update my operating system to macOS 27.

I'm considering switching to Xero, FreshBooks, Zoho Books, or another alternative rather than moving to QuickBooks Online.

Has anyone successfully migrated from QuickBooks Desktop Mac? How difficult was transferring your data and adjusting to the new software? Any recommendations or regrets?

Thanks for any advice!

QuickBooks Online Completely starting new file?

Helping a friend with their service industry business. He’s taking the business over for his uncle and stuff is in SHAMBLES. I have never seen a file this bad. Total incompetence from their previous “bookkeeping”. They’ve said that they got “screwed over” by accountants in the past, (not returning phone calls, total lag).

Huge negative balances vs what is actually in the bank account. Multiple account balances in quickbooks unsupported and verified.

I have been thinking of just recommending that he starts a new file.

How can this be done? Thanks for the help
