Showcase I built myself a task manager that uses Notion as its database. Would anyone use this?

I do freelance web design work and have been using Notion as a project manager. Projects have increased a little and I found that Notion is a bit clunky to use for the purposes I needed it for (too many clicks or "forced organization"). So I built myself a tool that integrates with 3 databases in Notion.

I can manage clients, projects and tasks and the appropriate databases in Notion are updated. Updating in Notion will also sync the projects to this tool. Since the databases live in Notion, I can also pull info via a database view and display any specific info as usual.

There's a small bit of setup, but I find it to be faster and easier to use than what I previously had in Notion, and I think it could be useful for others.

Would anybody be interested in using something like this? I'd like to try and gauge a reaction before possibly building it into a downloadable app.

Paid Template the 3 database client tracker i ended up with after overbuilding one (freelance setup)

my first freelance crm in notion had like 25 properties and i stopped updating it after two weeks. this is the stripped down version that actually stuck, in case it helps anyone setting one up.

3 databases, all related to each other:

  • clients: name, status, email, source (referral, cold, etc), next follow up (date)
  • projects: name, relation to client, status, quoted amount (number), due date
  • touchpoints: date, relation to client, type (call, email, meeting), one line note

status on clients uses the status property with just: lead, talking, active, past. i tried 7 stages before and it was pointless, i never knew if something was "proposal sent" or "negotiating".

the views that do the actual work:

  • clients board grouped by status. drag cards when things change, thats it
  • a "follow up" table view filtered to next follow up is on or before today. this is the one i open every morning
  • projects table filtered to status is not done, sorted by due date

rollup on clients pulling the sum of quoted amount from related projects. gives you a rough "how much has this client been worth" number without a separate finance setup. (example only, if you track invoices separately just roll up from that instead)

the habit part: every time i send an email or have a call i add a touchpoint and bump the next follow up date. takes 20 seconds. if i skip that step the whole thing rots, so i keep a touchpoint button/template ready with the date prefilled.

things i cut that i dont miss: lead score, tags for industry, separate contacts db for companies with multiple people (just put them in the note until it actually becomes a problem).

if you'd rather not build it yourself, i made a fuller version with a pipeline board, follow-up view and activity log (english + spanish): https://suansupply.com/tools/notion-crm-template/?utm_source=reddit&utm_medium=social&utm_campaign=notioncreations . it's paid, the setup above is free to copy by hand.

screenshot of the pipeline board + value by stage chart: https://suansupply.com/assets/img/tools/notion-crm-template-hero.jpg

curious what other freelancers here track that i'm missing. do you keep invoices in the same workspace or in a separate tool?

Showcase I made a free extension that saves articles to Notion with your highlights at the top

I kept saving articles to Notion and never finding the part I actually cared about. So I built Clipwise.

You highlight lines while you read, click once, and the article lands in your Notion database: full text, source and date filled in, and your highlights at the top of the page.

- Free, no account, nothing goes through a server

- Works with any database, or start with a free template (reading list, job tracker, link library, travel planner)

- Keyboard shortcut if you don't want to click

Chrome Web Store: https://chromewebstore.google.com/detail/fjgllpbhbnjdkhgmokagglhkahngmjki

I'm 16 and this is my first real product, so honest feedback is very welcome. What would make you actually use something like this?

Question/Looking for Advice iOS shortcuts signs out/crashes notion app every time they run?

I’m trying to use the built in Notion functionality in iOS Shortcuts to create a page via a shortcut.

When I’m editing the shortcut I can select my workspace, account and database. So it can clearly talk to notion to pull that info to select from.

But then the moment I run the shortcut I get a pop up asking me to log in to notion and if I open then notion app I find it’s either crashed or been signed out.

I’ve uninstalled the notion app, rebooted and reinstalled it. But no change

Am on the latest iOS.

Any ideas? It’s driving me nuts.

Showcase I built a free extension that suggests icons for your Notion pages, feedback welcome

I shared this on r/Notion a few days ago and it was well received. Then I realized this sub exists, so I wanted to share it with you too.

I create a lot of Notion pages and picking an icon for each one became a bit of a chore.

So I built a tiny Chrome extension.

It adds a "Suggest icon" button next to "Add icon", reads the page title and offers 3 emojis.

It's free and works on Notion in the browser (not the desktop app).

I'd love to hear your feedback.

#buildinpublic 18 months of selling Notion templates: $1,016 total, a $221 best month, and everything I'd do differently

I started selling Notion templates in April 2025. I'm a student, I built this alongside university, and I've been tracking every number. Here's the honest picture, since most posts about this only show the highs.

The numbers (Apr 2025 to Sep 2026)

- Revenue: $1,016.38

- Gumroad sales: 310 (124 paid, 186 free)

- Free downloads on Notion Marketplace: 4,593

- Products: 15+ templates across 3 product lines

- Best month: $221 (January 2026)

- Last 3 months combined: $33

It's not life-changing money. But the data taught me more than the revenue did.

1. Two products did most of the work

HealthOS (including its Pro version) earned $562, which is 55% of everything. PolymathOS earned $255. All the other templates combined earned about $199.

I kept launching new templates because it felt productive. Going deeper on the two that already sold would have paid better.

2. Price was never the real problem

I raised prices and got no sales. I dropped prices and got no sales. One template went from $29.98 to $12.98 and back to $29.98, and the only thing that changed was how I felt about it.

If a template doesn't sell at any price, the issue is usually trust, positioning, or whether it's built for someone specific. A discount doesn't fix any of those.

3. A free template only works with a specific audience

My free medication tracker has a clear audience and got 245 downloads. It naturally leads people toward my paid health template.

I also made a free "business OS" with no specific target audience. It was basically a weaker copy of my paid template, given away. It cannibalized the product it was meant to promote, so I deleted it.

A free template should solve one small problem completely. It shouldn't be a stripped-down version of your paid one.

4. Don't depend on any single platform

- My main marketing channel got banned in October 2025.

- My X account was banned in August (it came back after a week).

- In July, a bank issue blocked all my paid payments for the whole month. Revenue: $0.

The one thing that survived all of it was my email list (247 people). If you're building on Notion, build somewhere you own too.

5. Burnout will cost you more than a bad algorithm

My two lowest months (Aug and Sep, $14 and $20) were a mix of a health problems and exams. Almost no output. I'm in therapy now and rebuilding slowly.

I'm sharing this because the "just post daily" advice ignores that you're one person with a life. Consistency matters, but you can't pour from an empty cup.

What I'm changing

- Fewer new launches, more improvement of what already sells

- Every free template gets one clear audience and one clear upgrade path

- Email over social for conversions

- Sharing what I learn instead of pitching constantly

If you're selling templates too, I'd love to hear what's working for you. What's your biggest stuck point right now: traffic, conversions, or knowing what to build next?

Happy to share more detail on any of this (funnel numbers, how I use free templates on the Marketplace, what I'd skip) if it's useful.

Most creators I see have ideas in a notes app, brand deals lost in their inbox and income in a spreadsheet they rarely open. that;s why i just released a Notion template called Content OS that puts all of it in one workspace and helps creators focus on their content creation.

What's inside:

  • Content pipeline. Every post moves from idea to published, so you can see what's stuck.
  • Platform cards for YouTube, Instagram, TikTok and Facebook.
  • Brand deal tracker, so nothing gets lost in your inbox.
  • Income tracker in NPR, USD, EUR and GBP (other currencies are customizable).
  • Growth log and goals, to see if you're actually growing.
  • Task list that shows what's late.
  • Template vault and brand kit pages.
  • Sample data included, so you can see how it works before replacing it with your own.

Setup is one click to duplicate it into your Notion, and all future updates are free.

Content OS Notion Templates

Use code PROMO30 to get an instant 30% discount. (Applies to all other templates as well)

I'd love honest feedback from anyone who creates content, such as what's missing or what you'd change.

Paid Template I made a $5 Notion job-search workspace with daily actions and offer comparison

Post image
2 Upvotes

Disclosure: I made this template. Job Search Command Center is a paid Notion template, currently $5 USD as a one-time purchase.

Each opportunity keeps its company, stage, next action, action date and application documents together.

Today and overdue shows dated active work and excludes accepted, rejected and withdrawn opportunities. Separate views show interviews and offers. Offer comparison records annual base pay, currency, working arrangement and benefits/tradeoffs; it does not convert currencies.

It includes a fictional example, setup instructions, interview-preparation prompts, a follow-up draft and a weekly reset checklist. A Notion account is required; no paid AI subscription is needed. You submit applications and send messages yourself.

Product details: https://teaton8.gumroad.com/l/wwjohf

Feedback on the workflow is welcome, especially whether the next-action queue is clear.

Free Template I spent 6 months building widgets for Notion

Thumbnail
gallery
10 Upvotes

I got into this because I wanted better widgets for my own Notion setup. I love tweaking my workspace, but I couldn’t find enough options that looked good and were actually useful.

So I started building my own. One thing led to another, and six months later I’ve got iLovewidgets.

It’s at 90+ widgets now: clocks in all kinds of styles, calendars, Pomodoro timers, habit and health trackers, creator stats, and even little pixel pets (cats, frogs) that follow your cursor around.

I also made 14+ chart styles for Notion databases, like treemaps, radar charts, heatmaps, progress rings, and bullet charts. Notion’s native charts are great, but I wanted more ways to make dashboards look the way I pictured them.

You can try the free widgets without making an account, and there’s an early-bird membership if you want the premium ones.

Site’s here: https://ilovewidgets.com/

I’d really love feedback from other Notion users, so try a few and tell me what you think. And since I’m still building, what widget do you wish Notion had? I’m all ears.

Paid Template I built an ADHD dashboard in Notion that plans around energy levels instead of due dates

After years of regular planners failing me, I built a Notion dashboard around how my brain actually works: every task gets an energy level, a dopamine tag, and a friction rating. Low battery? It only shows me light tasks.

What's inside: brain-dump inbox, "today's top 3" view, dopamine menu of quick wins for stuck days, habit tracker with week scores, and auto project progress bars.

It's a paid template ($39) — link in comments. Happy to answer questions about the setup or formulas.

Showcase How to run Notion AI skills on a schedule without Custom Agents

Hi r/notioncreations,

The problem

I have a few prompts I run regularly — drafting a plan for my day each morning, a weekly review. They're already Notion skills, but they only run when I open Notion and click them. Custom Agents can schedule AI, but they need Notion credits, and credits are an extra bill on top of the plan.

For "run this one prompt every morning", paying extra for that felt wrong.

What I built

I make a Chrome extension called Notion Stressless (currently in Free Preview), and I added Scheduled Skills to it: pick a skill you already have, choose daily / weekly / monthly and a time, and it runs on schedule. Task definitions and results are stored in databases in your own Notion workspace, and your data only goes between your browser and Notion.

Tasks run in a Notion AI chat, so they use your normal Notion AI allowance. You don't need to buy credits, but you still need Notion AI.

For setup, please see the guide below.

Limits

  • Chrome has to be open when a task is due (it's a browser extension, not a server).
  • Scheduled runs count toward your Notion AI usage, so many runs will use your allowance faster.
  • It's not a replacement for Custom Agents: no event triggers (comments, database changes, Slack), no cloud execution.
  • It uses Notion's unofficial internal API.

Links

I'd love your feedback! There are a few other features too, like Notion AI on any website and version control for pages — have a look if you're curious.

Paid Template I built a gamified Notion system that turns your daily habits, tasks & goals into a single "Life Score" (like a video game stat)

I got tired of productivity apps that just give you empty databases with no structure. So I built LifeOS — it tracks your Tasks, Habits, Goals, Finance and Journal, and combines them into one Life Score out of 100 so you can actually SEE your progress instead of just making endless lists.

It also has a Setup Wizard that lets you pick Student / Freelancer / Professional mode so it adapts to your life.

It's a manual-entry system (you update your score weekly) — kept it simple and mobile-friendly on purpose.

Sharing in case it helps anyone else who wants their productivity system to feel less like a spreadsheet and more like something you actually want to open every day.

Question/Looking for Advice Daily Notes/Diary Thoughts

I have a text block on my daily task / project tracker page where I jot down notes, thoughts, items that may become tasks or projects in the future. Usually, I run through this each morning and tidy it up, add anything I might need to think about today etc.

But, as this is just a block, there’s no history of thoughts likely you would have with a notebook. I tried creating a database and having just today’s entry on the task page, but you have to open it in peek or full page to actually write notes. Adds a few extra steps.

Is it possible to add an automation to copy the text block to a database entry each day? Either through a button or automatically at the end of the day. The only automations I’ve tried are creating daily actions from templates so I’m not sure what the best approach is. Any advice would be appreciated.

Free Template I made a free reading list template that fills in its own columns when you save an article

Post image
2 Upvotes

I kept saving articles to a Notion reading list and never filling in the source, author or date. After a few weeks the list was useless.

So I set this one up to work with a small Chrome extension I made (Clipwise, free, no account). When you save an article, the title, URL, source, author, publish date, a short summary and any sentences you highlighted go into the right columns. You only pick the status.

What's in it:

- To read: a board with To read / Reading / Done

- All: everything as a table

- Highlights: only the articles where you marked something, so you can skim what was actually worth keeping

It's a normal database, so it works without the extension too. The columns are just named so the extension recognizes them.

Duplicate link is in the comments. What would you add to a reading list? I'm still deciding on the views.

Paid Template I built a Notion home dashboard for engineering students: today’s priority, projects, and learning in one page

Post image
1 Upvotes

I’m an AI and Data Science student, and I kept losing track of projects, courses, and ideas across different apps. So I built a single Notion workspace to organize it.

This screenshot shows the home dashboard:

  • Today’s priority: One line to focus on each day
  • Projects: Filtered to show what I’m currently building
  • Learning Tracker: Filtered to show courses in progress

The rest of the workspace includes a build log, an idea vault, an income tracker, and weekly review templates.

I’d value honest feedback on the layout. Is there anything you’d add to a home page like this, or anything that looks cluttered?

If you want to try it, the template is here: https://kynatrstudio.gumroad.com/l/vxdgj
