There has been no guide to deploying Power Automate flows from code. I documented one with Claude AI. Follow-up to the PAD ROBIN reference kb : a tested guide to deploying and running desktop and cloud flows from code, 100% free on GitHub.

Last month I posted a JSON knowledge base of PAD ROBIN actions that I documented with Claude AI, so models stop writing desktop flows that PAD rejects. Getting a flow that pastes clean is half the job. The other half is getting it into an environment and running it without clicking through the portal, and there's no single place that documents that either.

There has been no Robin language reference since 2021. I documented one with Claude AI. PAD actions with paste-validated examples, 100% free on GitHub. : r/PowerAutomate

So I wrote it down: PAD_Robin_Deployment_KB.md, in the same repo. It covers:

  • Signing in once for Graph, the Flow API and Dataverse with one device-code sign-in and refresh token.
  • Discovery: pulling the user's real environments, connections, connector operations, sites and lists, so the model stops inventing them.
  • Cloud flows through the Flow API, plus the Dataverse workflow table route: creating, turning on and off, and starting a run.
  • The definition rules the API enforces, each with the exact error message you get when it's broken. I re-tested 25 single-change variants of one flow against the current API, and several old "rules" turned out not to be needed.
  • Desktop flows: validating before delivery, delivering by paste, running them from a cloud flow, and reading the result from flowsessions.
  • A troubleshooting table of about 30 error messages, with what actually causes each one.

Every claim is marked Proven, Re-confirmed or Measured, all checked against PAD 2.73.

It also documents writing desktop flows straight into Dataverse: creating them from scratch, inputs and outputs, child flows, and cloud connector actions inside desktop flows, including SharePoint writes with dynamic schemas. That part is not supported by Microsoft. It was proven on one environment, attended runs only, so try it in a test environment first.

Repo: https://github.com/JoeG592/pad-robin-action-kb

Same license as the action KB, CC BY 4.0, so use it however you like, commercially included. Like last time, I built this with Claude AI. The data is free regardless.

If something in the guide doesn't hold on your tenant or PAD build, an issue with the error text is the most useful thing you can send.

(Dare to ask) Looking for Proven Power Automate Flows for SharePoint & Teams Governance

I'm currently building a SharePoint and Teams governance/provisioning solution and I'm wondering whether I'm reinventing the wheel.

Our environment is moving from traditional file servers to SharePoint Online, and we're trying to put proper governance, automation, and self-service processes in place from the start.

At the moment I'm building:

  • Power Apps request portal
  • SharePoint Lists as the backend
  • Power Automate provisioning flows
  • Teams and SharePoint governance processes
  • Approval workflows

The goal is to allow users to:

  • Request a new Team
  • Request a SharePoint site
  • Request new document libraries
  • Add/remove members and owners
  • Request channels
  • Submit governance-related changes

Typical flow would be:

  1. User submits a request
  2. Approval process starts
  3. Validation checks run
  4. Team/Site gets provisioned
  5. Permissions are assigned
  6. Audit log is updated
  7. Requestor receives notifications

What I'm struggling with is not the technical implementation itself, but knowing what a mature setup looks like.

Questions for those who have already built this:

  • Do you have any proven Power Automate templates for Teams/SharePoint provisioning?
  • What approval patterns work best?
  • How are you handling governance and lifecycle management?
  • Do you use configuration-driven provisioning (templates/profiles stored in SharePoint)?
  • How do you handle archiving when Microsoft Purview isn't available?
  • What flows turned out to be essential that you didn't think of at the start?
  • What flows did you build that turned out to be unnecessary complexity?

I'm especially interested in real-world examples, architecture diagrams, sample flows, governance templates, naming standards, approval chains, and lessons learned.

At this point I feel like there must be organizations out there that have already solved 80% of these challenges, and I'd rather learn from their mistakes than make all of them myself.

Any examples, screenshots, GitHub repositories, solution accelerators, or war stories would be greatly appreciated. 🙂

Data from Excel to planner

I am trying to send data from and Excel SS to my Planner. However when connecting my planner it is requesting a GROUP ID when I create and action. My organization does not let me create a private group. So I have a private planner for my personal self. If I add my planner to my organizations group the whole organization will be able to access it. How can I get around this?

How do you automate new employee account creation and check for duplicate email addresses in Microsoft 365?

Hi everyone!

I’m currently working on automating our employee onboarding process using Microsoft Forms, Microsoft Lists, and Power Automate.

Our current workflow looks like this:
- HR submits an onboarding request through Microsoft Forms, including the new joiner’s preferred email address.
- Power Automate creates an item in Microsoft Lists.
The reporting manager receives an approval request.
- Once approved, IT receives email on the onboarding tasks such as creating the M365 account, granting SharePoint access, and provisioning a laptop.

I’m looking to automate the account creation process as well, rather than having IT manually create each account.

A few questions for those who have implemented something similar:
1. Account creation: Do you automatically create the user account in Microsoft Entra ID once the manager approves the request, or do you still require IT to review it first?

2. Password generation: Do you generate a random temporary password automatically and require the user to change it at first sign-in? How do you securely deliver the initial credentials?

3. Duplicate email validation: Since HR provides the preferred email address, how do you check whether the UPN or email address already exists in the M365 tenant, including aliases, shared mailboxes, and distribution groups?

4. Error handling: If the requested email address is already taken, do you automatically generate an alternative or send the request back to HR?

5. Best practices: Are you using Power Automate with Microsoft Graph, Azure Automation, PowerShell, or another approach?

I’m interested in how others handle this in production, especially around security, approvals, and avoiding duplicate accounts.

Would appreciate any insights or examples of your workflows. Thanks!

Power Automate shut off MS Form when total number is reached

Hey everyone, I’m a beginner with PA. Here’s my idea which I’m not sure is even possible. I have a Microsoft form that asks people to sign up to purchase plants. One of the fields in the form has the person select the number of plants they want to purchase. I need power automate to
1. Read the data from a Microsoft Excel table - specifically the cell that totals the number of plants people want collected from the forms.
2. If number reaches certain value, turns off accept responses from form, and anything else which can inform people we are accepting no more responses.

I got to the point of setting up an Excel form on SharePoint, but I’m really confused on how PA reads a specific cell in a table. Any help is appreciated! Again, I am a beginner so if you don’t mind sharing exact steps to follow. I’ve been searching online and it gets really confusing really quick for me. Thank you!!!!

What ways exist to open up an on-open password protected file?

I have a file arriving by email daily that is password protected. It is password protected on-open, meaning you are unable to view or access any of the content until the password is entered (distinct from just the cells being protected by a password). Is there anything I can do in Power Automate to enter this password or to access the content?

I do not have an Encodian or Azure account. I do have a Power Automate premium licence.

Thank you.

Best way to automatically export Teams transcripts to DOCX?

Hi all,

I'm trying to build an automated workflow and I'm not sure if I'm approaching it the right way.

The objective is pretty simple, whenever a Teams meeting ends and a transcript becomes available, I'd like Power Automate to automatically create a Word document containing the transcript. That document would then be used in additional flows for things like meeting minutes, action items, summaries, and archiving.

What I'm struggling with is understanding where Teams actually stores the transcript and what the cleanest way is to access it.

Here's what I've found so far:

  • Teams Premium is generating transcripts successfully.
  • After a meeting, I can view the transcript in the Recap section.
  • I can manually download the transcript if needed.
  • An MP4 recording is automatically saved to OneDrive/SharePoint.
  • I don't see separate transcript files being created alongside the recording.

My original thought was to use the "When a transcript is available" trigger in Power Automate, then pull the transcript text and generate a DOCX automatically. However, I haven't been able to get that trigger to fire during testing.

What I'm trying to determine is:

  • Has anyone successfully built a flow around Teams transcripts?
  • Is the transcript accessible through Power Automate or Microsoft Graph without manually downloading it?
  • Does the "When a transcript is available" trigger actually work reliably?
  • Are transcripts stored as files somewhere, or only as meeting artifacts within Teams/Stream?
  • What's currently considered the most robust approach for automatically getting transcript text into a DOCX?

I'd prefer to avoid processing the MP4 itself since the transcript already exists and re-transcribing the recording seems unnecessary.

Curious to hear how others are handling this. Thanks!

Why do I have to cast length(...[array]) to int before I can use a greater than expression on it?

length(body[value]) > 0 returns error (comparing type string to type int).

Documentation says that length outputs an int.

Using int(length(...)) fixes the issue. But why!?

IT blocked all connectors

We recently (about a year ago) transitioned our whole org to 365, sharepoint, and teams.

I immediately started automating routine tasks with PA, even without any premium connectors there was a lot that could get done. And several of those flows are now production.

After about a year of this our IT department decided to block all connectors. Even the non-premium ones.

When I asked them, they said that "'it's recommended standard" to turn off all connectors for "security reasons" and that they just hadn't had time to do it earlier.

Employees now have to individually request use of each connector they need.

Is this really standard procedure, or are they just stupid?

How come all the Word connectors are premium connectors on the Power Automate????

A review step works best when it has a clear reason to stop the flow

When I automate a process that needs a person to review something, I try to make the handoff explain what needs attention, not just send a generic approval request. For example, if a document field is missing or a value falls outside an expected range, the review message can include that detail and a link to the source record.

I also make the next step explicit: does approval continue the flow, does rejection send it back for correction, and what happens if nobody responds? That keeps the automation from treating silence as approval or leaving a run stuck with no clear owner.

A human checkpoint is useful when it catches a defined uncertainty. If every item requires the same review, it may be a sign that the flow needs a better validation step earlier on.

Power Automate: Saving email attachments from a shared mailbox to SharePoint Online

I've tested a Power Automate workflow with my work email that would pull a file from an email and saves it in the designated folder in SharePoint Online. I'm needing to do this with a shared mailbox, but after talking to someone on our Systems team, I was made aware that these do not have passwords and thus, I can not make that email address the new connection. I was wondering if it was possible to do this with a shared mailbox and if not, what are some alternatives?

Unflag an email after it is manually forwarded.

Hello,

I have been trying to figure this hour for hours, but I am getting no where. I am trying to make it so that when I forward an email, it automatically unflags the original email that had a flag on it. Is this possible?

Using Power Automate to Export PBI report

New to power automate. I have a PBI report our finance team uses to reconcile data. For background, there are 4 tables. One we will call table A and the other table B. These two tables are from completely separate sources, and do not have a relationship. The other two tables were created for slicers. One is a date table and one contains names. The concept is that user filters name from name table, and date from date table, and it correspondingly filters Table A and B with appropriate data. I am looking to use power automate to export my two table visuals (one uses table A, the other uses table B). I know this can be done individually by exporting the table visuals one at a time, but is there a way this can be done so I click the power automate visual “button” and it exports the two visuals into one excel tab? Any insight is greatly appreciated

I built a document extraction pipeline as a personal project. How would you integrate something like this into Power Automate?

The project takes a batch of PDFs, extract the fields and line items, validate the results, and export structured data without manually processing every document.

A few things I've implemented:

  • VLM-based extraction: Extract user-defined fields and line items from documents with varying layouts.
  • Independent validation: A separate text-based pipeline provides another source of evidence, with disagreements flagged for review.
  • Visual grounding: Trace extracted values back to their locations in the original PDF.
  • Batch processing: Process 100+ documents in a single run.
  • Structured output: Export results to JSON or Excel.

I've also benchmarked it against Azure Content Understanding on 100 documents, with my best configuration achieving 97% field-level accuracy at roughly 1/12th the cost per run in my evaluation.

I'm curious about how people here approach document-heavy workflows.

If you were building a Power Automate flow around a tool like this, how would you integrate it? For example, would you trigger extraction when a PDF lands in SharePoint or OneDrive, send the validated results into Excel or a SharePoint list, and route uncertain fields for human review?

This is a personal engineering project, not a commercial launch. I'm primarily looking for feedback on the workflow and integration possibilities.

I'd especially love to hear from anyone who's built similar flows using AI Builder, Azure Document Intelligence, or custom extraction pipelines.

This was built because Azure content understanding is quite expensive at scale

Provisioned with error - Power Automate Hosted Process / Hosted Machine setup issue

Hi everyone,

Looking for some insight or troubleshooting steps from anyone who might have run into this issue with Hosted Machines in Power Automate.

As context:

  • Yesterday we purchased the Power Automate Hosted Process license.
  • A Microsoft representative helped us assign the license/capacity to our environment during a call.
  • While on the call, we attempted to set up a Hosted Machine.
  • The provisioning process ran for several minutes before failing with an error.

The machine status in the portal currently displays: "Provisioned with error".

Has anyone encountered this specific error before? Is there a known way to force a re-provision, clear the stuck state, or check detailed logs to see what caused the provision to fail?

Any guidance or troubleshooting steps would be greatly appreciated!
